Capital Equipment
Everything you need to know about purchasing laboratory capital equipment — from evaluating specifications to receiving delivery. This guide covers the entire process.
1. How to Evaluate Specifications
The most important step in purchasing capital equipment is matching specifications to your application. Don't overbuy — but don't underbuy either.
Temperature Range
Know your exact requirements. A -86°C ULT freezer costs significantly more than a -40°C low-temp unit. If your samples only need -20°C to -40°C, you may not need ultra-low.
Capacity
Measure your current storage needs and plan for 2–3 years of growth. Buying too small means purchasing a second unit sooner. Buying too large wastes energy and floor space.
Power Requirements
Most capital equipment runs on 115V or 208V/230V. Verify your facility's electrical capacity before ordering. 208V units are more efficient but require dedicated circuits.
Footprint & Installation
Measure doorways, elevators, and corridors. Many ULT freezers won't fit through a standard 36" door. Plan your delivery path before ordering.
Compliance
Pharmacy refrigerators need CDC/VFC compliance. BSCs need NSF listing. Autoclaves need validation protocols. Know your regulatory requirements upfront.
2. Understanding Lead Times
Capital equipment isn't always sitting in a warehouse. Depending on the manufacturer, your timeline could be days or months.
Made-to-Order
Some manufacturers build every unit from scratch. Expect 6–10 weeks production time plus freight shipping. Plan ahead — rush orders aren't possible.
Stocked Inventory
Other manufacturers maintain warehouse inventory. These typically ship within 1–2 weeks. Availability varies by model.
Seasonal Demand
University purchasing peaks in Q3 (July–September) as budgets reset. Grant-funded labs often purchase at fiscal year-end. Ordering early avoids backlog delays.

3. Freight & White-Glove Delivery
Capital equipment ships via freight — not UPS or FedEx. Here's what that means for your lab.
LTL Freight
Standard for most equipment. Delivered on a pallet to your loading dock. You're responsible for moving it to its final location.
White-Glove Delivery
For units going inside the building — upstairs, through hallways, into specific rooms. Includes uncrating, placement, and debris removal. We coordinate with specialized carriers.
Liftgate Service
No loading dock? Liftgate drops the pallet to ground level. Required for most labs without a dock.
Inside Delivery
Carrier brings equipment to the first room inside your building. Available for most shipments at additional cost.
Shipping Costs
Freight costs depend on weight, dimensions, distance, and service level. We include an accurate freight quote with every equipment quote — no hidden charges.

Payment Terms
First-time customers: 50% deposit with order, balance before shipping. Returning customers with established history may qualify for flexible terms.
Purchase Orders
We accept institutional purchase orders from universities, hospitals, government agencies, and established businesses. PO terms available for qualifying organizations.
Credit Card Orders
We accept all major credit cards. A 3% processing surcharge applies to orders over $500, added as a separate line item on your invoice.
Grant Purchasing
Buying with NIH, NSF, or other grant funding? We provide the documentation and invoicing your grants office needs. W-9 and tax-exempt processing available.
5. Warranty & Support
Every piece of capital equipment we sell is backed by the full manufacturer warranty — purchased through an authorized distributor.
Manufacturer Warranty
All equipment carries the standard manufacturer warranty — typically 1–3 years depending on the product and manufacturer. You're covered directly by the manufacturer.
Authorized Distributor
Purchasing from an authorized distributor means your warranty is fully valid. Gray market or unauthorized channels can void manufacturer warranty coverage.
Support After Purchase
Our support team helps with installation questions, troubleshooting, and warranty claims. We coordinate with the manufacturer on your behalf when needed.
Extended Coverage
Some manufacturers offer extended warranty or service plans. Ask us about options when you request a quote.
